The HARBORVIEW MEDICAL CENTER SPECIALITY CLINIC-ORAL MAXILLOFACIAL has an outstanding opportunity Program Coordinator (Full-Time, Day Shifts).

The 4-West Clinics are multi-disciplinary surgical clinics that specialize in the evaluation and treatment of conditions in patients with high acuity. This position will process incoming referrals for the Otolaryngology, Audiology and Oral Maxillofacial Surgery Clinics.

PRIMARY JOB RESPONSIBILITIES:
Perform referral management and care coordination
Ensure completeness and accuracy of registration and patient demographic data.
Obtain all pertinent medical history, imaging and outside records needed to facilitate medical review
Maintain an organizational system to track multiple referral streams (hospital follow-up, consultations, procedures, radiologic studies) and track patient record
Facilitate scheduling of urgent referrals and working closely with clinic medical directors
Manage a high volume of telephone encounters, emails, faxes, and letter correspondence pertaining to patient and/or provider follow-up, continuity of care, and referral decisions
Assist in managing provider templates and schedules.
Obtain prior authorizations for procedures and other services provided in the clinical setting
Interface with UW Medicine Contact Center and maintain scheduling procedures consistent with clinic and patient access goals
Utilizes system resources, including computerized information systems and staff from ancillary departments and develop processes to meet the needs of the service and patients
Receive and carry out direct requests from clinic providers, paying close attention to complex details, complete follow through, and maintain good and organized record keeping
Organize work and appropriately prioritize patient care and/or projects with occasional assistance from supervisor
Independently prioritize patient scheduling and follow-up needs. Follow through and resolve patient requests on a timely basis

REQUIRED QUALIFICATIONS:
· High school graduation or equivalent and two years’ experience in a tertiary patient care setting involving interaction with a variety of medical services, contact with patients, interaction with physicians, and proficiency in medical terminology. OR
· Equivalent education/experience
