The UW Department of Radiology brings together state-of-the-art technology and highly trained, world renowned personnel to provide comprehensive diagnostic and personalized service to physicians, community hospitals, and other health care organizations. Our operations are based at the University of Washington Medical Center Montlake and Northwest campuses, Harborview Medical Center, South Lake Union and the Seattle Cancer Care Alliance. Radiology faculty members also serve at Seattle Children’s Hospital, the Veteran’s Administration Puget Sound Healthcare System, and the Fred Hutchinson Cancer Research Center. These collaborative efforts have generated innovative, translational studies in the basic mechanisms of disease as they apply to radiology.

The Department of Radiology has an outstanding opportunity for a Temporary , Full-Time Program Coordinator . This individual will report to the Assistant Director of Operations. In addition, this individual will also work with the chief of Neuroradiology, providing administrative support for the faculty within the section. This role will participate in process improvement initiatives led by the Assistant to the Director requiring strong teamwork, a positive attitude, attention to detail, and the ability to implement new processes in an efficient and timely manner. A high level of integrity and discretion in handling confidential information and professionalism is a requirement.

Under general supervision, independently perform administrative assignments of increasing variety and complexity, and the use of judgement in non-routing matters, such as scheduling meetings, maintaining multiple calendars, coordinating venues, taking minutes of meetings, editing and summarizing minutes for distribution, and arranging departmental events.

Under general supervision, collaborate with the Faculty Support Team in implementing process improvements to streamline efficiencies and standardize operations across the Department of Radiology, such as faculty schedules (Amion and/or QGenda), management of section websites, maintaining faculty records, travel, and reimbursements.

The Program Coordinator contributes to the growth and success of the Department of Radiology by executing the mission and vision.

Essential Duties & Responsibilities (Other duties may be assigned to meet business needs.)

• Coordinating operational functions of the Neuroradiology section.
• Serve as a liaison on behalf of the section and the department to staff, management, clients, and external organizations to explain and apply guidelines, policies, and procedures applicable to the department;
• Maintain compliance of departmental, school, university, state, and federal regulations and maintain a current body of knowledge of standards and regulations; responsible for compliance standardization, implementation, and management practices within the Neuroradiology Section;
• Coordinate faculty effort certifications, credentials, leave request reviews, and training;
• Purchase/disperse funds for Department and Faculty Educational Allowances; reimbursement requests; coordinate and manage purchasing processes in manner consistent with purchasing policies and use of University of Washington Procurement card, monthly reconciliation of reports; billing, and resolving discrepancies;
• Update Neuroradiology Section’s websites, following established standard formatting and timelines for all section;
• Attend and take meeting minutes for the Neuroradiology Section faculty meetings, as well as other meetings as requested by the Section Chiefs; distribute and post meeting minutes;
• Execute special events sponsored by the section including, but not limited to, event space logistics, publicity, staffing, negotiating expenditures with vendors, budget oversight;
• Collaborate on process improvement efforts and other special projects as needed;
• Provide coverage for other section on as needed basis.
• Participate in related special projects and process improvement as needed by the department.
• Perform other related duties as required to support the ongoing mission and strategic plans of the School and the department.
• Provide Calendar and other support for the Vice Chair of Clinical Research.

MINIMUM QUALIFICATIONS :

• High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.

Other Requirements

• Intermediate/advanced computer skills, specifically Microsoft Office Suite;
• Demonstrated excellent written, verbal and interpersonal communication skills;
• Excellent office organizational skills under competing project deadlines with a high degree of accuracy and attention to detail;
• Strong initiative, independent judgment and follow-through;
• Ability to work collaboratively with others, as well as independently.

Work Environment:

• Schedule is normally 8a to 5p, M-F, but is not always fixed and workload does vary. The incumbent¹s first responsibility is to complete tasks rather than keep to a fixed schedule. Flexibility in schedule and intensity of work is necessary.

• Some travel between sites will be necessary by UW Health Services or other shuttles.
