Role Description

This is a part-time on-site role for an Administrative Assistant at VTA Dental Lab in Scottsdale, AZ. The Administrative Assistant will be responsible for providing administrative support, managing phone calls, maintaining communication, and assisting with executive administrative tasks.

Qualifications

- Ability to maintain confidentiality and professionalism
- Excellent organizational and time management skills
- Proficiency in MS Office (Word, Excel, Outlook)
- Attention to detail and accuracy
- Experience in a dental or healthcare setting is a plus

Responsibilities

- Serve as the first point of contact for visitors and clients, demonstrating excellent phone etiquette and customer support.
- Manage front desk operations, including greeting guests, answering phone calls, and directing inquiries appropriately.
- Perform clerical duties such as filing, data entry, and maintaining organized office records.
- Assist with office management tasks including inventory management and ordering supplies as needed.
- Utilize QuickBooks for basic accounting tasks and financial record keeping.
- Support team members with various administrative projects and tasks to ensure operational efficiency.
- Maintain a clean and organized workspace to promote a professional office environment.

- Proven experience in an administrative role or similar position is preferred.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Familiarity with QuickBooks or similar accounting software is a plus.
- Excellent communication skills, both verbal and written.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work independently as well as part of a team.
- Previous experience in customer support or front desk operations is highly desirable.
- Attention to detail and a proactive approach to problem-solving are essential.

Dental and Admin Experience is a plus.
