Position Summary
The Director of Clinic Operations is responsible for managing and improving operational efficiencies within the dental
practice and ensuring quality patient care. As part of a patient-centric approach to patient care, this individual will lead and
provide direction to staff and volunteer dentists, Fellows, and dental support staff. This individual is part of the Operational
Leadership Team.

Job Description

Key Accountabilities
1. Leads daily clinical operations, collaborating with dentists, Fellows, clinical staff, school-based program staff, and
executive leadership to ensure efficiency.
2. Manages and provides leadership to dentists, Fellows, hygienists, dental assistants, and patient care
representatives, ensuring appropriate staffing and addressing personnel concerns.
3. Develops, maintains, and communicates dental practice policies and standard operating procedures.
4. Oversees and executes the dental component of the strategic plan.
5. Forecasts staffing needs and implements strategies to optimize dental operations.
6. Manages provider schedules to ensure optimal coverage and oversees PTO requests for the dental team.
7. Plans, implements, and evaluates TCD dental programs, including RGFOC, Wetherbee Orthodontics, Operation
Dental Care, and pilot initiatives.
8. Builds and maintains relationships with local dental schools, including Marquette University School of Dentistry
(MUSoD), Fox Valley Technical College (FVTC), and Northeast Wisconsin Technical College (NWTC).
9. Coordinates dental student schedules and ensures appropriate oversight for MUSoD, FVTC, and NWTC students.
10. Resolves dental patient complaints in a timely and professional manner.
11. Serves as a liaison with Wisconsin licensing authorities and DHS ForwardHealth.
12. Ensures clinical training and compliance with HRSA and OSHA standards.
13. Provides oversight of Medicaid/ForwardHealth processes, including preauthorizations, coding, billing, and financial
reconciliation.
14. Monitors clinical workflows to enhance efficiency, improve patient outcomes, and optimize staff utilization.
15. Manages equipment and supply needs, ensuring standardization, maintenance, and timely ordering.
16. Conducts provider chart reviews and peer reviews, addressing significant or recurring issues.
17. Sets agendas and collaborates with the Clinical Advisory Committee, working with the CAC chair and the director of
clinical education.
18. Interviews, hires, and onboards all clinic staff.
19. Oversees training and orientation for new team members.
20. Conducts annual performance evaluations for staff and providers; develops long-term provider retention strategies.
21. Engages with Wisconsin Association of Free and Charitable Clinics (WAFCC) as needed.
22. Utilizes EagleSoft, Microsoft 365, and related software to manage clinic operations effectively.
23. Provides clinic insights and reports to the board of directors as requested.
24. Performs other duties as assigned, including participation in dental practice projects.

Physical Demands
• Ability to move freely (standing, stooping, walking, bending, pushing and pulling) and lift up to a maximum of
twenty-five (25) pounds without assistance.
• Job classification is exposed to blood borne pathogens (blood or bodily fluids) while performing job duties.

Work Environment
• Primarily works in a climate-controlled office environment.
• Frequently sits with movement throughout the office.
• Regular exposure to sharp instruments.
• Occasional exposure to moving mechanical parts, airborne particles, toxic chemicals, and electrical hazards.
• Occasionally exposed to high noise levels.
• Possible exposure to communicable diseases, hazardous materials, and pharmacological agents, requiring
adherence to safety protocols and use of personal protective equipment.
• Occasional interaction with aggressive or combative patients.
• Frequent computer use, including repetitive hand, wrist, and finger motions.
• Minimal travel (less than 5%), with occasional driving to other locations.
• May require occasional work outside normal hours.

Salary Range 【Full-time】 $80,000.00 〜 $100,000.00 /year
Salary Details

Occasional evening or weekend work may be required to support clinic operations.

Compensation is determined by qualifications, experience, and skills.

Requirements

• Previous healthcare management experience is required.

Preferences

• Bachelor’s degree in Dental Hygiene, Healthcare Administration, or a related field is required. A combination of
equivalent education and experience may also be considered.
• 5+ years of experience in a dental setting is strongly preferred.
