Bright Direction Dental is looking for an exceptional Area Office Manager to oversee the day-to-day operations of multiple offices in the area.


The Area Office Manager is responsible for overseeing the day-to-day operations, administrative functions, and performance of the dental offices within the Lansing area. This role ensures that each location operates efficiently, provides exceptional patient service, and meets organizational goals. The Area Office Manager will act as a key liaison between the offices and the BDD Support Team, promoting a positive work environment, coordinating resources, and implementing operational best practices to support the growth and success of the company.

RESPONSIBILITIES

Operational Management:

Oversee the day-to-day operations of the Lansing dental offices, ensuring compliance with BDD policies and dental regulations.
Monitor office budgets, expenses, and productivity metrics, implementing cost-effective solutions to improve operational efficiency.
Ensure adequate staffing levels in each office, coordinating with human resources for recruitment, onboarding, and training of new employees.
Manage office supplies, equipment, and facility maintenance needs to ensure all offices are fully operational and safe.


Front Desk Operations:

Greet patients, schedule appointments, and assist with patient registration and check-in processes.
Ensure that all insurance and RCM related policies and procedures are adhered to in order to maintain collections metrics.
Answer phone calls, respond to inquiries, and provide information about dental services.
Create a culture that fosters great patient experiences and works to resolve any patient issues promptly in order to maintain world class NPS scores.


Patient Experience:

Promote a high standard of patient care and customer service, resolving escalated patient concerns and complaints as needed.
Implement and monitor systems to ensure smooth patient scheduling, appointment flow, and adherence to treatment protocols.
Track patient satisfaction metrics and initiate improvement plans as necessary to enhance the overall patient experience.


Team Leadership and Development:

Supervise, coach, and support Office Managers and front-desk staff across locations, fostering a culture of teamwork and continuous improvement.
Conduct regular performance evaluations, set goals, and implement development plans to support career growth and skill enhancement.
Organize and lead staff meetings, training sessions, and team-building activities to improve team cohesion and patient service quality.
Provide guidance and support to staff members, promoting professional development.
Manage practice staff, payroll, and foster team growth through the annual review process.


Financial Management:

Prepare and monitor the office budget, including revenue and expense tracking.
Collaborate with RCM to optimize billing and collection processes.
Prepare financial reports and analyze data to identify areas for cost reduction and revenue enhancement.
Collect and manage patient accounts receivable, ensuring timely payment from patients and achieving Accounts Receivable aging targets.
Monitor the financial performance of each office, providing reports and recommendations to the RDO on ways to enhance profitability.


Compliance and Regulatory Matters:

Stay updated on relevant dental laws, regulations, and compliance requirements.
Ensure the office adheres to industry standards, infection control protocols, and privacy regulations.
Collaborate with the BDD Support Team, providers, staff and other Office Managers to maintain a safe and healthy work environment.

Requirements

Previous dental/medical practice management experience
Computer/technology literacy
Experience with multiple dental PMS
Experience with PPO (preferable Delta and Healthy Michigan) good understanding of PPO vs Premier billing
Dental multi-site management experience OR At least 5 years of dental management experience with multi-provider team

PHYSICAL REQUIREMENTS:

Must be able to lift up to 15-30 pounds at time.
